Archive the Mailbox – your name folder by highlighting it and it will automatically select all folders within your mailbox except for the contacts and calendar . If you select the Mailbox (a black dot in the circle), all subfolders should be selected . The Mailbox (with Your name) should be highlighted, NOT the Inbox. Highlighting Inbox or any other folder will archive just that one folder.
In the Archive items older than: field, you should hit the down arrow to get to the calendar and select the date you wish for the archiving to cover, or some other date in the future (if you have calendar entries as far in the future as 2007, for example, you can use a date in 2007).
There should be a check mark in the Include items with “Do not AutoArchive” checked field.
In the Archive file: field you should see H:\archive.pst or C:\…(various folder names)\your name\Microsoft\outlook\archive.pst. This will be the same location where you initially directed Outlook to archive the last time you archived.
Saving to the H:\ drive will save the archived data in your network folder. If you select C:\, the data will be saved to the hard drive of the computer you are using when you perform the archive. WRITE THIS LOCATION DOWN to be sure you can retrieve your archived information. Use the same location each time you archive so that you do not end up with multiple archive files containing the same information.
You will see the following pop-up message if the archive date is in the future: |
